\tMASTER SERVICE AGREEMENT & TERMS AND CONDITIONS

\tBy requesting an estimate, booking a service (via telephone, email, website, messaging platforms, or in person), or accessing our website, the client (“Client,” “You”) acknowledges, accepts, and agrees to be legally bound by the terms of this Agreement.

\t1. WEBSITE USE & ESTIMATES

\nWebsite Purpose: The Website provides information regarding our services, facilitates price quotes, and enables communications. While we strive for accuracy, we do not guarantee that the Website will operate uninterrupted or error-free.
Estimates & Inquiries:

Inquiries and estimate requests submitted online or through other communication channels are non-binding and do not guarantee final pricing or scheduling availability.
Estimates are valid for thirty (30) days from the issuance date.
Estimates are based on preliminary assessments, standard material costs, and labor rates. Final pricing may be revised if unforeseen conditions arise or if actual cleaning times differ substantially from initial evaluations.

\nFormal Bookings: Service bookings become legally binding upon written confirmation (e.g., email) or execution of service agreements.

\t2. SERVICE PROVISION, CLIENT PREPARATION & PRIVACY

\nScope of Work: Services will be performed professionally in accordance with standard industry practices. Clean4you supplies all necessary tools, equipment, and cleaning products (e.g., vacuums, mops) unless otherwise agreed upon in writing.
Client Preparation:

\nClutter & Linens: Clients are asked to pick up clothing, toys, and personal items before arrival to maximize cleaning efficiency. Excessive clutter requiring extra labor will incur additional hourly charges. Please strip beds and provide fresh bedding; otherwise, original linens will be used to remake beds.
\nValuables: Expensive, collectible, or irreplaceable items must be safely secured before our visit. Clients must notify us in advance of any items or areas that should not be cleaned.

Property Access & Climate Control:

The home must be accessible upon our arrival. Security systems/alarms must be deactivated or a valid entry code provided.
Working utilities (electricity and running water) must be fully operational.
\nHome Temperature Controls: In compliance with occupational health and safety standards for safe working environments (under the Ontario Occupational Health and Safety Act), Clients must maintain a comfortable indoor temperature between 20°C and 24°C during the appointment. If a home is excessively hot or cold to the point of creating health hazards for our cleaning staff, Clean4you reserves the right to suspend or adjust services until safe working conditions are met.
\nLockout / Interference Charge: If cleaners are denied access, turned away, or unable to work due to lack of utilities, unsafe ambient temperatures, or interference from other contractors, Clean4you reserves the right to suspend or cancel the visit. A minimum lock-out fee of $200 will be billed to the Client.

Safety, Children, and Pets:

\nOccupational Safety: Cleaners comply with federal Occupational Health and Safety regulations. Employees are required to wear shoes at all times and are restricted to using company-provided step ladders only.
\nChildren & Pets: Clients must supervise children and pets while cleaners are on site. Dangerous pets must be secured indoors or outdoors prior to arrival. Clean4you is not responsible for pets escaping during entry or exit. Our cleaners do not provide pet waste removal services.

Photography, Media Usage, and Privacy Policy (PIPEDA Compliance):

\nAuthorization & Purpose: The Client grants Clean4you permission to take photos and/or video recordings of the service areas before, during, and after completion. These images are collected for: (i) internal record-keeping and proof of performance; (ii) quality control inspections and verification of pre-existing property conditions; and (iii) marketing, promotional materials, company website, and social media channels.
\nPrivacy Protection & Anonymity: In compliance with applicable privacy laws (Personal Information Protection and Electronic Documents Act - PIPEDA), Clean4you commits to ensuring that no personally identifiable information (PII) is published or exposed. Photographs will not include property street addresses, full names, sensitive personal documents, or family portraits/identifiable faces. Any accidental capture of sensitive information will be cropped or blurred prior to external use.
\nSecure Storage: All digital media captured by our personnel will be stored securely on protected system servers with access restricted solely to authorized Clean4you personnel.
\nMarketing Opt-Out: Clients who wish to opt out of having their property images used for marketing and social media purposes must notify Clean4you in writing (contact@clean4youottawa.ca) prior to the scheduled service appointment. (Note: Internal photography strictly for proof of service and damage protection remains mandatory).

\t3. BOOKINGS, CANCELLATIONS, AND MODIFICATIONS

\nNo Long-Term Commitment: There is no fixed-term contract requirement. Services may be cancelled by either party in accordance with the notice periods below.
Rescheduling & Temporary Cancellations (Less than 48-Hour Notice):

Written notice (email/text) is required at least 48 hours in advance to cancel or reschedule a single visit.
Notice given directly to cleaning staff upon arrival is invalid.
Cancellations or changes made with less than 48 hours' notice will incur a $50 fee.

\nPrice Adjustments for Skipped Visits: Skipping a routine visit alters the scope of the subsequent cleaning. Subsequent cleanings following a skipped session may be billed at our higher \"First Time / Deep Cleaning\" rate due to additional labor.
\nPermanent Service Cancellation: Permanent termination of ongoing recurring service requires two (2) weeks' advance written notice.
\nAbsences & Out-of-Town Policy: If you will be away on vacation, please schedule services before your departure rather than during your absence. Clean4you prefers clients to inspect and verify the home immediately following completion.
\nStatutory Holidays: Clean4you does not operate on statutory holidays. Affected cleaning schedules will be adjusted and rescheduled in advance.

\t4. INVOICING, FEES, AND PAYMENT TERMS

\nPayment Window: Clients are given five (5) calendar days from the invoice date to remit full payment. Electronic invoices will be issued following completion of services.

\nNo Direct Service Payments to Staff (Tips Allowed): Cleaning technicians are strictly prohibited from receiving service payments or invoice funds directly. However, technicians are permitted to receive voluntary tips and personal gifts directly from clients.
\nTaxes: Applicable federal (HST/GST) and provincial taxes will be added to all invoices unless a valid tax exemption certificate is provided prior to billing.
Late Fees & Payment Default:

Invoices remaining unpaid after 30 days are subject to a $100 late charge applied every 30 days until the balance is cleared.
\nSuspension of Service: All outstanding balances must be cleared prior to the next scheduled service date. Services will be suspended if invoices remain outstanding.

Rate & Scope Adjustments:

\nScope Adjustments: Clean4you reserves the right to adjust service fees if the actual cleaning time required routinely exceeds initial estimates. Pricing evaluation occurs after three (3) visits, and any proposed fee adjustments will be communicated to the client prior to taking effect.
\nAnnual Inflation Adjustments: Due to changing operational costs, Clean4you reserves the right to make annual fee adjustments upon advance written notice.

\t5. STAFF CONDUCT & NON-SOLICITATION COVENANT

\nProfessional Standards: Staff are insured and bonded. Staff are expected to remain respectful, refrain from smoking, eating, watching television, or playing radios while in your home, and will not answer doorbells. Staff are permitted to consume non-alcoholic beverages for hydration.
\nNon-Solicitation & Direct Hire Fee: Clean4you invests substantial resources into recruiting, vetting, and training its service personnel. The Client agrees not to solicit, hire, or engage any current or former Clean4you employee or service contractor directly for private cleaning services during their engagement and for two (2) years following the termination of their relationship with Clean4you. In the event of a breach, the Client agrees to pay Clean4you a direct placement fee of $2,500.

\t6. DAMAGES, CLAIMS, AND GUARANTEE

Satisfaction Guarantee & Resolution Policy:

If any area is accidentally missed or unsatisfactory, notify Clean4you before 9:00 AM on the day following service (or by 9:00 AM Monday for Friday services).
While direct monetary refunds are not issued, Clean4you will work in good faith to resolve concerns through mutually agreed-upon solutions, such as a complimentary re-cleaning visit or a service credit/discount applied toward future visits.

Property Damage Claims:

Cleaners will report any accidental breakage caused during service immediately.
Damages caused by our staff must be formally reported by the Client within forty-eight (48) hours of the service completion. Claims submitted after 48 hours will not be eligible for compensation.
For unique, antique, or one-of-a-kind items, written proof of value must be provided for settlement evaluation.
Clean4you is not responsible for damages resulting from pre-existing faults, age-related wear, or improper/faulty installation of items in the home.

\nTheft Allegations: Suspected theft must be reported immediately to Clean4you at contact@clean4youottawa.ca. Clean4you will fully cooperate with local law enforcement investigations. Subject to applicable law, Clean4you is indemnified against unproven claims.
